Administration Manager

Christian Alliance International School (CAIS) is a non-profit making school wholly owned by Kowloon Tong Church of the Chinese Christian and Missionary Alliance, we invite applications from potential applicants to fill the following position:

To provide general administrative support to the School in the area of administration, procurement, and general office management.

Job duties

  • Development of administration polices and strategies to ensure efficient and timely administrative support to staff and smooth operation of the School
  • Prepare and handle annual operating and capital expense forecast and re-forecast for the School. Monitor monthly expenses, compile reports and continually identify process improvements and cost savings
  • Handle and coordinate campus improvement projects, office supply procurement, mailing arrangements and general repair and maintenance
  • Lead the administrative team to provide support during school events and activities
  • Design and develop fixed assets management system and perform annual stock take of all school assets and fixtures
  • Supervise office assistants to manage general routines and cleaning services
  • Relationships with service providers and vendors
  • Establish and implement proper procurement and inventory control procedures
  • Prepare annual procurement plan and budget
  • Manage tendering process
  • Responsible for the design and implementation of vendor management system by establishing standard evaluation criteria and KPIs to identify qualified vendors for all procurement items & services within the School
  • Ongoing assessment of current and potential vendor performance through systematic evaluation and satisfaction survey. Constantly identify new and qualified vendor to ensure best price, product and/or service quality
  • Lead and supervise annual procurement projects including but not limited to Discovery Day program, annual textbook purchase, lunch and school bus services, etc.
  • Ensure compliance of all purchases in line with internal procurement guidelines and safety requirements
  • Establish and implement proper procurement and inventory control procedures
 General Office Administration
  • Oversee daily operational needs of the general office
  • Supervise and support school nurse
  • Support student services
  • Support school events
  • Any other job duties or ad hoc projects as assigned

Job Requirements

  • Degree holder in facilities management, business administration or related disciplines
  • Minimum 5 years of experience in procurement, facilities management and administration
  • Certified Procurement professional such as CPSM or CIPS a plus
  • Advanced negotiation techniques and strong interpersonal skills with the ability to build and maintain strong working relationship and influence stakeholders at all levels
  • Sound knowledge of general procurement processes, vendor management and managing payments compliance
  • Proven project management and tender management experiences
  • Proficiency with MS Office applications
  • Good command of written and spoken English and Chinese
  • Ability to work under stress and tight deadline
  • Experience working in school environment is a must, preferably in international school

Effective Date of Employment

Initial contract is normally 1 year in duration.
