Executive Secretary to the Head of School

Christian Alliance International School (CAIS), a non-profit making school wholly owned by Kowloon Tong Church of the Chinese Christian and Missionary Alliance, invites applications for Executive Secretary to the Head of School.
Duties and Responsibilities
Responsible for a full spectrum of secretarial and administrative support Manage diaries, schedule appointments, prepare correspondences, reports, proposals, filling system, etc Serve as the primary point of contact for all internal and external stakeholders regarding matters related to the Head of School Office Manage travel arrangements for local and overseas work trips Prepare correspondence, reports, presentations and meeting agendas Support meetings and prepare minutes Staffing matters, including appointments, interview schedules, liaising with the Human Resources Department on staffing matters Organise events or functions assigned, including venue booking and setup, guest list and refreshment preparation Ensure all documents are prepared with accuracy, and in a timely manner in appropriate style and format Maintain the highest level of confidentiality regarding student, staff and sensitive administrative information Coordinate appropriate follow-up actions of tasks assigned Assist in English / Chinese interpretation Any other ad hoc duties as assigned
Qualifications and Experience
Bachelor's Degree in relevant discipline At least 5 years of relevant experience, preferably gained from Education Industry or sizable companies Previous experience in a school setting would be advantageous Proactive, positive, and self-motivated, have a strong sense of responsibility and ethics, coupled with strong organizational skills and detail-orientation Able to work positively and effectively with internal and external parties Excellent command of both written and spoken English and Chinese, with fluency in Putonghua being an advantage High level of proficiency with MS Office applications Candidate with an understanding of Christian values preferred
